HOVA Properties respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains what personal data we collect, how and why we use it, who we may share it with, how long we keep it, and the rights available to you under applicable data-protection law.
For the purposes of this policy, references to “HOVA Properties”, “HOVA”, “we”, “us” or “our” mean HOVA Properties.
For questions concerning this Privacy Policy or the way we handle your personal data, please contact:
Email: hello@hovaproperties.com
1. Who is responsible for your personal data?
HOVA Properties is responsible for the personal data collected through the HOVA Properties website and through our communications with guests, prospective guests, property owners and prospective property owners.
We act as the data controller where we determine why and how your personal information is processed.
2. What personal information we collect
The personal information we collect depends on how you interact with HOVA Properties.
Villa and stay enquiries
When you enquire about a villa or submit a Request to Book, we may collect information including:
Your name, email address, telephone number, requested arrival and departure dates, number of guests, the property you are interested in, and any information you choose to include in your message.
Property owner enquiries
If you contact HOVA about property management or rental services, we may collect your name, email address, telephone number, property location, number of bedrooms, current rental status and any information you provide about your property or requirements.
Communications with us
If you communicate with us by email, telephone or WhatsApp, we may retain information relating to that communication, including your contact details and the content of relevant messages.
Website and technical information
When you use our website, certain technical information may be processed automatically, including your IP address, browser and device information, pages visited, approximate location based on IP address, referring website and information about how you interact with the site.
Some of this information may be collected through cookies or similar technologies.
Booking and stay information
If an enquiry develops into a confirmed booking, we may need to collect additional information reasonably necessary to administer the booking and your stay.
We will only request information that is necessary for the relevant purpose or required by applicable law.
We do not currently use the general website enquiry forms to collect passport or identity-document details.
If HOVA becomes legally required to collect such information for confirmed stays, we will provide appropriate information at the point of collection and update this Privacy Policy where necessary.
Sensitive personal information
Please avoid sending sensitive personal information unless it is genuinely necessary.
In some circumstances, you may choose to provide information concerning allergies, accessibility requirements or other health-related needs so that we can assist with your stay or an additional service. Where such information constitutes special-category personal data, we will only use it where we have an appropriate lawful basis and only for the relevant purpose.
3. How we collect your information
We may collect personal information when you submit a form on our website, request to book or enquire about a property, contact us by email, telephone or WhatsApp, enquire about property-management services, communicate with us regarding a stay, or use and navigate our website.
We may also receive information from service providers where this is necessary to provide a service you have requested.
4. Why we use your personal information
We only process personal information where we have a lawful basis to do so.

| Managing confirmed bookings and guest stays | Performance of a contract |

5. Villa owners
HOVA Properties does not routinely share initial villa enquiry information with individual property owners.
Your enquiry is handled by HOVA Properties.
If circumstances surrounding a confirmed booking later require information to be provided to another party, we will only share information where there is a legitimate and lawful reason to do so and only to the extent necessary.
6. Additional services and local partners
HOVA may help guests arrange additional services such as transfers, boat hire, private chef services, watersports or other local experiences.
If you ask us to arrange such a service, we may need to provide the relevant service provider with limited personal information necessary to fulfil your request.
For example, a transfer provider may need your name, arrival details, number of passengers and contact information.
We will not provide third parties with more information than reasonably necessary for the service concerned.
Where a third party provides a service independently, that provider may also act as a separate data controller and may have its own privacy policy.
7. Service providers we use
HOVA Properties uses third-party providers to operate and support its website and business.
These may include providers of website hosting and development infrastructure, cloud database and storage services, authentication services, email and communications services, interactive mapping, analytics and IT/security services.
At present, relevant services may include technologies provided by Lovable, Supabase, Mapbox, Google and WhatsApp/Meta, depending on the way you use our website or communicate with us.
These providers may process limited personal or technical information on our behalf or in connection with the service they provide.
We require personal information to be handled in accordance with applicable data-protection requirements.
If we introduce additional systems in the future, such as a property-management or booking platform, this Privacy Policy will be updated where appropriate.
8. Google Analytics and website measurement
We intend to use Google Analytics to understand how visitors use the HOVA Properties website, for example which pages are visited and how users navigate through the site.
Google Analytics and other non-essential analytics technologies will only be activated where the required consent has been provided.
You will be able to accept or reject optional analytics technologies through our cookie-consent controls and change your preferences later through Cookie Settings.
More detailed information about cookies and analytics will be provided in our separate Cookie Policy.

9. Maps
Our website uses interactive mapping functionality, currently provided through Mapbox.
When a map is loaded, Mapbox may receive technical information such as your IP address, device or browser information and information necessary to provide the map service.
We use maps to show approximate property and destination locations and to improve the usability of the website.
10. WhatsApp, email and telephone communications
You may choose to contact HOVA Properties by email, telephone or WhatsApp.
If you contact us using WhatsApp, information relating to that communication will also be processed through WhatsApp and its associated infrastructure in accordance with its own privacy terms.

We use communications received through these channels to respond to enquiries, administer bookings, provide guest support and deal with property-management enquiries.
11. International transfers
Some of the technology and communications providers used by HOVA Properties may process or store information outside the European Economic Area.
Where personal data is transferred outside the EEA, we take reasonable steps to ensure that an appropriate lawful transfer mechanism is available, such as an adequacy decision or appropriate contractual safeguards including the European Commission's Standard Contractual Clauses where applicable.

We do not keep personal information indefinitely.
Enquiries that do not lead to a booking will generally be retained for up to 24 months after our last meaningful interaction, unless we have a legitimate reason or legal requirement to retain them for longer.
Property-owner enquiries will generally be retained for up to 24 months after our last meaningful interaction, unless the enquiry develops into an ongoing commercial relationship.
Information relating to confirmed bookings, financial transactions or business records may be retained for longer where required for accounting, tax, contractual, insurance, dispute-resolution or other legal purposes.
Communications may be retained for as long as reasonably necessary to manage the relevant relationship or protect HOVA's legitimate interests.
Cookie-consent records and security records may be retained for the period reasonably necessary to demonstrate preferences, maintain website security or comply with legal obligations.
When information is no longer required, we will delete it or anonymise it where reasonably practicable.
13. How we protect your information
We take reasonable technical and organisational measures designed to protect personal information from unauthorised access, disclosure, alteration, loss or misuse.
Access to administrative systems and non-public information is restricted to authorised persons.
Where third-party service providers process personal information on our behalf, we seek to use providers offering appropriate security and data-protection safeguards.
No website or electronic system can be guaranteed to be completely secure, and you should avoid sending unnecessary sensitive information through ordinary email or general enquiry forms.

16. Children
Our website and services are intended to be used by adults arranging accommodation or related services.
Families may of course travel with children, and limited information concerning children may sometimes be necessary for a booking, such as the number or ages of children travelling.
We do not knowingly use children's personal information for marketing purposes and ask adults making a booking not to provide unnecessary personal information about children.
